How to respond to a negative Google review
Your reply is not for the reviewer. It is for the next person reading, and it is permanent.
Reply briefly, without arguing the facts, and move the conversation offline. The reply is read by future customers, not by the person who wrote the review, so it should demonstrate that you are measured and responsive rather than that you are right. Never disclose that someone was a customer where confidentiality applies.
Who you are actually writing to
Almost nobody writes a review, then reads the owner's reply, then changes their mind. The audience for your reply is the person deciding next week whether to book, and they are reading the exchange to learn what you are like when something goes wrong.
That reframes everything. Winning the argument loses the reader. A defensive, detailed rebuttal makes a one-star review look like a two-sided fight rather than an outlier.
A calm four-line reply under a furious review is the most persuasive thing on the page.
A structure that works
- Thank them for the feedback, without sarcasm.
- Acknowledge the experience without conceding facts you dispute: "I am sorry your visit did not go the way you expected."
- State briefly what you generally do about that issue.
- Give a direct way to reach you and stop there.
The lines that create new problems
In regulated fields, confirming that a named individual was a customer can itself be a disclosure problem. Healthcare is the sharpest version of this, covered in HIPAA and responding to patient reviews, but the principle reaches further than medicine.
Also avoid: describing what the person did in the appointment, naming staff, implying the reviewer is lying, mentioning legal action, or offering anything in exchange for removal. That last one is review gating and can cost you the listing.

Should I respond to every negative review?
Respond to the ones a prospective customer will actually read, which usually means the most recent and the most detailed. Responding to everything, including years-old one-star ratings with no text, adds little.
How quickly should I reply?
Within a few days is fine. Same-hour replies are often written in the wrong emotional state and cannot be unpublished.
Can I edit a reply later?
Yes, replies can be edited, but assume anything published has already been screenshotted.
