What brand monitoring tools can and cannot see
Useful, expensive, and blind in the places that matter most. Know the gaps before you buy.
Monitoring tools cover news, blogs, public social posts and often review platforms well. They cover private groups, closed forums, video without indexed text, and AI assistant answers poorly or not at all. Buy on coverage of the surfaces where your customers actually are, not on dashboard quality.
What they do well
- News and blog mentions, comprehensively and quickly.
- Public posts on major social platforms, subject to each platform's API access.
- Review platform activity, with alerting on new reviews.
- Volume and sentiment trends over time, which manual checking cannot produce.
- Multi-location and multi-executive coverage, which is where manual monitoring collapses.
Where the blind spots are
Private and closed groups are invisible, by design and by law. No tool sees inside a private local Facebook group, and that is frequently where local damage happens.
Video is weak. Tools index titles and descriptions, not what is said in a nine-minute video, so a video naming you with a generic title may never be flagged.
AI assistant answers are not a feed. Some vendors have added prompt-based tracking, and it is worth checking whether that is real measurement or a marketing line.
The dashboard shows what it can index. The damage often happens where it cannot.
How to choose
Test with a real historic incident. Ask the vendor to show what their tool would have surfaced for something that actually happened to you, and when.
That single question separates products quickly, and it is a better basis than a feature list. Whatever you buy, pair it with a human who reads the local groups and a monthly assistant check, because those gaps are structural rather than fixable by spend.
Common questions
Is a paid tool necessary?
For one location and one named person, no. For several of either, manual coverage stops being credible.
Do they catch reviews in real time?
Usually near real time on major platforms, though smaller and regional sites vary considerably.
Can they monitor competitors?
Yes, and it is often the most useful non-defensive thing they do.
